WHY PRACTICE-OWNED MARKETING BREAKS

You Did Not Open a Practice to Run a Marketing Stack

Most independent practices run marketing by accident: a website somebody set up four years ago, an SEO PDF nobody reads, a blog from a writer who has never sat in a clinic, and ads paused six months ago because no one could show which clicks became visits. Four problems show up in almost every discovery call.

Agencies miss medical compliance

A horizontal vendor pitches the same playbook to a dentist, an attorney, and an HVAC company. HIPAA, state board rules, and testimonial release shape medical marketing, and they do not know it.

Content ranks for the wrong queries

A generalist writer chases traffic, not visits. The patient searching “specialist accepting new patients near me” is worth more than the one reading “what causes back pain,” and the dashboard cannot tell them apart.

The four-vendor swivel chair

Website at one vendor, SEO at a second, reviews at a third, ads at a fourth. The form does not feed the front desk, the ad call is not attributed, and each vendor blames the others when a lead does not convert.

Vanity numbers, not patients

The report leads with impressions and follower counts because none of them are tied to a scheduled visit. The budget gets spent and never quite earns itself back in new patients.

THE SERVICE

One Contract, One Account Team, Eight Channels Run Together

GlaceGrow is a monthly service that covers the channels a physician practice needs to grow. The company that built your EHR and runs your billing writes your blog, answers your reviews, and reports on which campaigns produced scheduled visits.

FOUNDATION

Website we build and maintain

Your site lives on the same WordPress block-theme stack we run for our own marketing: hosting, CDN, SSL, security, and analytics. Speed and Lighthouse posture are maintained as part of the service, not a one-time handoff.

DISCOVERY

Medical-search SEO

Keyword strategy built around queries that convert: condition plus city, procedure plus insurance, specialist plus accepting-new-patients. Medical schema markup and local citation hygiene, with no link-buying or shortcuts that put your domain at risk.

VOICE

Blog under physician byline

Written by medical writers, reviewed against your voice, and published only after you approve the draft. Topics chosen for new-patient intent. English and Spanish on every post, because the patient does not pick the language the keyword ranked in.

RETENTION

Segmented patient email

Lifecycle email built off the segments your EHR already supports: recency, chronic-condition cohort, preferred language. Annual-physical reminders and preventive-care nudges, with no PHI in copy and CAN-SPAM handled cleanly.

LOCAL

Google Business Profile, owned

Treated as a primary surface, not an afterthought. Hours, insurance, providers, and photos kept current; questions answered; posts on cadence. The number in the knowledge panel is the one you want patients to dial, on every device.

REPUTATION AND ADS

Reviews and paid ads

Post-visit review requests tied to the real encounter, with negative reviews escalated to a human on your team. Google Search and LinkedIn ads on the surfaces medical buyers use, paced weekly. Social runs on the channels that fit your specialty.

One service fee vs the piecework agency stack

The horizontal agency stack reads as a list of small lines that each escalate on their own clock and put the renewal economics in the vendor’s favor. GlaceGrow is one number, and the number includes the work.

Every channel is wired into the platform your practice already runs on. Lead forms feed your Glenwood account team, inbound calls can route through GlacePhoneSmart for after-hours coverage, review prompts trigger off real encounters, and reporting reconciles to scheduled visits.

FROM CLICK TO SCHEDULED VISIT

Judged by One Number: Did the Patient Book

1 2 3 4 5 6 Land Form Notify Call Book Report

A patient lands from search, an ad, or a Google listing and submits a form that carries full UTM attribution. The notification routes to the list your front desk works, and a branded confirmation goes back to the patient. Phone inquiries get captured by GlacePhoneSmart when the line is busy or after hours, the visit books into the GlaceEMR scheduler, and the monthly report reconciles every channel to scheduled visits, not impressions. Calendly is available for consult or demo flows where a scheduler-first experience fits better.

WHAT HORIZONTAL AGENCIES MISS

Medical Marketing Has Compliance Surface

A HIPAA-aware marketing operation is a different product from a horizontal one with a disclaimer in the contract. The day-to-day work, the tools, and the failure modes are different, and GlaceGrow runs on those workflows from day one.

No PHI in marketing copy

Case studies, posts, ads, and email are produced from de-identified language only. The team is trained to catch the patterns that drift toward identifiable detail and rewrite them before publication.

BAA-protected analytics

Analytics and tag management are configured with the HIPAA-appropriate consent layer and PHI-bearing form exclusions enforced at the tag level. Form submissions never pass identifiable health information into the ad networks.

Testimonial release that holds

Before a patient quote, name, or photo appears anywhere, a written release runs through a tracked workflow with a signed copy on file. The release is plain-English, HIPAA-grounded, and revocable.

Human-written, not AI-generated

No post publishes under your name until you approve it. Generative tools assist with outlines and the Spanish translation pass, but the medical content that ships under your byline is human-written, human-edited, and human-approved.

FREQUENTLY ASKED

Questions Practice Owners Ask Before Signing

Short answers below; the longer conversation happens on the growth-plan call. Tap any question to expand the answer.

Do you also handle the website hosting?

Yes. The site we build for your practice lives on the platform stack Glenwood operates: WordPress with the FSE block theme, the hosting, the CDN, the SSL, and the security and performance layer. Hosting is included in the monthly service fee. You are not asked to maintain a separate hosting account, coordinate plugin updates with a third party, or pay a separate vendor for the box the site runs on. The whole stack is one number, one team, one phone call if anything goes wrong.

Do you write under my name, and can I review it first?

By default, yes on both. Blog posts publish under your physician byline because patients and search engines both weight physician authorship as a meaningful signal, and the voice is calibrated to sound like you. No post leaves the queue under your name without your approval: the draft queues in a review surface sized to fit a clinical schedule, you read it when you have ten quiet minutes, and you approve it or send back edits. An earlier outline-stage review option is available if you want to approve the topic before drafting begins. Alternative byline arrangements (a practice byline, a staff author, or a mix) are configurable.

How fast will I see results?

Paid ad campaigns produce measurable signal within the first 30 days, because the click-to-form path is short and the attribution is direct. Local SEO and Google Business optimization typically produce visible movement at 60 to 90 days as the listing’s freshness signals get reweighted. Organic search ranking from content production typically takes three to six months to show meaningful lift, because that is the timeframe in which the search engine reweights the new authority signal. The monthly reviews are designed to show the right number against the right time horizon, so you are not judging organic SEO by month-two numbers or judging a paid campaign by quarter-end numbers.

Can you work with my existing website?

In some cases, yes. If your current website is on a modern WordPress build with clean code and a maintainable theme, the service can run on top of it without a full migration; we audit the site for SEO posture, accessibility, performance, and HIPAA compliance, then operate the channels on the foundation that is already there. If your site is on a closed proprietary builder, an unmaintained custom build, or a stack that cannot be brought to current security and performance standards, the discovery conversation will recommend migration to the GlaceGrow platform, and the migration runs as part of onboarding without setup tax. Existing URLs are mapped with 301 redirects so inbound link equity carries forward.

What if I am in a specialty without much search volume?

Low-volume specialties get a different playbook. Where the keyword universe is thin, the strategy tilts toward referrer-physician acquisition (a LinkedIn presence, B2B-targeted paid ads, professional-society content), toward local-pack optimization (the Google Business Profile is the highest-yield surface for niche specialties), and toward retention work on the existing patient list (segmented email, reactivation campaigns, post-visit education). The reporting still anchors on patient inquiries and scheduled visits, but the channel mix is built for the actual demand shape your specialty produces rather than a generic search-volume playbook.

Is GlaceGrow priced as a percentage of new patient revenue?

No. GlaceGrow is a monthly service fee, scoped by practice size and the channels included, with no setup fee, no per-blog-post fee, and no ad-management percentage on top of ad spend. Your data is always yours, exported free in standard formats if you leave. GlaceRCM is the percentage-of-collections product (billing service plus EMR plus PMS); GlaceGrow is a different relationship with a different pricing model. The two can be bought together, separately, or in either order, and both are sold standalone. A practice already on GlaceRCM commonly adds GlaceGrow when growth is the next priority, and a practice that comes in through GlaceGrow commonly moves to GlaceRCM later.
