Onboarding and offboarding checklists, I-9 and W-4 capture with e-signature, handbook acknowledgment, and a HIPAA-locked partition for the employee health records the Security Rule requires you to separate.
Timesheets and PTO
Geofenced clock-in on desktop and mobile, one-screen pay-period approval, accrual rules per role and tenure, and a clean export to the payroll provider you already use. Accrual and leave rules follow your practice’s own policy, and default to the applicable state requirements where you have not set one.
Credentials tracking
State licenses by state, DEA registrations, board certifications, malpractice, hospital privileging, and CME against state requirements. Expiration alerts at 60, 30, and 10 days, each with the renewal document attached.
Inventory management

WEEK 1
Data export and load
Your implementation lead exports the employee roster, timesheet history, PTO balances, credential roster with documents, inventory, contracts, and the document library. Glenwood normalizes and loads, you review the result, and pay-period boundaries and credential expiration dates are preserved exactly.
WEEKS 2 AND 3
Re-enrollment and parallel run
Employees log in, confirm their profile, set direct deposit (the payroll integration preserves the existing setup, so this is a confirmation not a re-entry), and start using clock-in and the mobile app. The previous tools stay live the whole window so nothing operational rides on the new system yet.
WEEK 4
Payroll cutover
The first full pay period runs on GlaceOffice timesheet data, exported to your payroll provider. Your implementation lead reviews the file with the practice manager before submission. Once it clears, the old timesheet system is decommissioned. Credentials, inventory, documents, and contracts have already been live through the parallel run.
There is no setup fee, no implementation fee, and no per-location upcharge. GlaceOffice does not replace your payroll provider; it owns the source-of-truth time, PTO, and expense data and feeds it to the major payroll provider you already use. Glenwood has been independent and privately held since 1994, and support runs 7:00 AM to 8:00 PM Eastern on weekdays with 24×7 on-call coverage for urgent issues. Your data stays portable: a full export in standard formats is included in the service if you ever leave.

Can we use GlaceOffice without GlaceEMR or GlaceRCM?
Yes. GlaceOffice is the only Glenwood top-tier product that does not require GlaceEMR underneath. Practices on a third-party EHR run it standalone and get the full administration platform: HR, timesheets, PTO, credentials, inventory, documents, contracts, expenses, and the KPI dashboard. Integrations exist for major payroll providers, common e-signature services, and the document-storage systems most practices already use. Many practices start on GlaceOffice standalone and move the rest of the platform onto Glenwood later, after they see how the named-account-team model runs. The standalone deployment is fully supported, not a stopgap.
Does GlaceOffice do patient scheduling or front-desk check-in?
No. GlaceOffice is practice administration only: the back-office work behind the clinic. Patient scheduling, the appointment book, and front-desk check-in live in GlaceEMR, where they belong with the chart. GlaceOffice handles HR, timesheets, PTO, credentials, inventory, documents, contracts, expenses, and the owner’s KPI dashboard. The two share one data model when you run both, so a new hire provisioned in GlaceOffice gets the right EHR role on the effective date, but they are deliberately separate products with separate jobs.
Does GlaceOffice replace our payroll provider?
No, and we do not want to. Your payroll provider handles tax filings, direct-deposit rails, year-end reporting, and the regulatory liability that goes with all of it. GlaceOffice owns the source-of-truth time and attendance data, PTO accruals, expense reimbursements, and new-hire and termination payroll events, then sends the data to your existing major payroll provider in the import format they expect. Setup runs once at implementation. The integration is a one-way data feed, not a replacement, so you keep the payroll provider you already use.
How does credentials tracking alert us before something expires?
Every credential carries its expiration date and triggers alerts at 60, 30, and 10 days out. Alerts go to the credential holder, the practice manager, and the named account manager on the Glenwood side, and the 10-day alert escalates if unacknowledged. Renewal documentation uploads through the alert email or the credentials module, the expiration date updates once reviewed, and the credential is back in good standing. The module covers state licenses by state for multi-state providers, DEA registrations, board certifications, malpractice, hospital privileging, CME against state requirements, and the OSHA and HIPAA training the support staff need. One lapse that triggers a payer denial cascade typically pays for the platform for a year.
Can we restrict who sees employee records?
Yes, and the access controls are real, not policy theater. Permissions are assigned by role with per-record overrides when the situation calls for it. The medical assistant cannot see clinical staff salaries. The bookkeeper sees financial information without seeing the partnership agreement. Employee health records, including vaccinations, fit-test records, and exposure-incident follow-up, live in a HIPAA-locked partition that only Occupational Health and the named administrators can see. Every read, write, share, and download is recorded in the audit trail. When the HIPAA auditor or your legal counsel asks who accessed a record, the answer is one query.
Is GlaceOffice really free, and is the data secure?
GlaceOffice is free for Glenwood clients on GlaceEMR or GlaceRCM. Practices on a third-party EHR buy it standalone on a monthly subscription scoped by headcount and modules, with no setup fee and no per-location upcharge. It runs on the same infrastructure as the rest of the platform: ONC-certified platform infrastructure, HIPAA-compliant for the employee-health and vaccine records that touch PHI, and PCI-DSS for the payment paths inside it. LUKS full-disk encryption is in production as of May 2026, with TLS in transit and single-tenant database isolation per practice. Native iOS and Android apps cover clock-in, PTO requests, expense capture, and credential renewal upload.
